Behind every test we ship is a 28-staff medicine ward running 24/7. One Ward Manager, five Advanced Practice Nurses, twenty Registered Nurses, two Enrolled Nurses — four ranks across six roles (Day IC, Team IC / Cubicle IC, Night IC, Runner, plus the Manager's office role) and seven shift codes (AM, PM, Night, Day-office, two flavours of off-day, annual leave).

The brief reads like a real charge nurse wrote it: every shift needs one Day IC, at least three Team IC, and the rest can be Runners; PM followed by next-day AM is forbidden for Team IC (handover load too heavy); a Night must always be followed by an Off so people actually rest; only RNs and ENs can take Night, with exactly two Night-IC-qualified staff every overnight, never the same person two nights running; the Ward Manager only does Day-office; cap consecutive working days at six and aim for a five-day week; carry forward last month's leave balance for the four staff who finished short or over.

The AI uses the last few days of the previous roster to detect consecutive work patterns across period boundaries — e.g. preventing a staff member from working 10+ days in a row when one roster ends and the next begins. The leave balance tracks how many OFF days each staff is owed (+) or has taken in advance (-).

Step 2: Prefill Duties

Think of the roster as a puzzle. Prefill lets you place the pieces you already know — the AI will fill in the rest. Enter shifts that are already confirmed: approved leave, duties assigned by external systems, or fixed arrangements. You don't need to fill everything — just what's already decided. The AI will figure out the rest based on your rules.

Quick Start Options

Controls whether staff with specific attribute combinations can work together. Can enforce separation (exclusion) or mandatory pairing (inclusion).

Rewards placing specific shifts before/after each other without forcing it. This is a soft constraint that improves schedule quality but can be violated if necessary to satisfy harder rules.

Encourages grouping similar shift types adjacently to create longer continuous periods, improving work-life balance by consolidating rest or work blocks.

Rewards (or mandates) extra rest days after working a demanding consecutive shift pattern, preventing fatigue from intense work blocks.

Applies different minimum or maximum staffing levels based on the day of the week, accommodating varying demand patterns (e.g., weekends vs. weekdays).

Ensures the total staff count for one or more shifts is similar across all days. Prevents extreme staffing fluctuations (e.g., 10 staff on Monday, 4 on Tuesday).

Distributes staff with different attribute levels (e.g. experience, seniority, skillset) evenly across shifts to ensure each shift has a balanced team composition.

Balances the allocation of a particular shift type (e.g. Night, Weekend) across all eligible staff to ensure fairness, preventing any staff member from being overburdened with undesirable shifts.

Minimizes variance in total work shifts across all staff, ensuring equitable scheduling by preventing some staff members from working significantly more or less than others.

Blocks specific consecutive shift combinations that are unsafe, fatiguing, or violate labor regulations. Such sequences are strictly prohibited.

Limits the maximum number of continuous work days without a rest break. Critical for fatigue management, safety compliance, and labor law adherence.

Limits the total working hours a staff member can be assigned in a single day. Prevents overworking beyond legal or health limits.

Limits total working hours per 7-day week. Essential for managing full-time and part-time contract caps.

Spreads out tiring or demanding shifts to maximize recovery time between occurrences. Can enforce a minimum gap period for safety and wellbeing.

Guarantees a minimum number of weekly working hours, ensuring contract obligations are met for staff.

Defines both minimum and maximum staff limits for a shift. Setting min = max enforces an exact headcount, preventing both understaffing and overstaffing.

Ensures sufficient non-specialist staff for general duties. Counts staff who do NOT hold specified roles (e.g. excludes supervisors, counts only general staff).

Ensures a mandatory rest gap between the end of one shift and the beginning of the next (e.g., for travel and sleep).

Ensures at least a specified number of staff holding a particular role are present on each shift. Only staff with that role in their attributes are counted.

Sets a minimum headcount requirement for a specific shift to prevent understaffing. You can filter by staff attributes (e.g. only count qualified nurses) or apply to all staff.

Requires a minimum number of staff to be present during a specific clock-time window, regardless of shift boundaries.

Ensures each staff member is assigned exactly one shift code every day. This rule is automatically applied by the system — you do not need to add it manually. Split duty (e.g. morning + evening half-shifts) is supported; the system detects composite shift definitions and allows them as a valid same-day combination.

Enforces a mandatory transition rule: if a staff member works shift A, they MUST work shift B immediately before or after it. This is a hard constraint that ensures safe scheduling sequences.

Defines a sequence rule between two shifts on consecutive days. Can be mandatory (Hard Constraint) or a soft preference (Reward).

Applies a soft preference to maintain higher staffing on one shift versus another on the same day. This guides the AI without creating hard rules.

Controls which staff can work specific shifts based on attributes (rank, certification, role). Can whitelist (allow only) or blacklist (forbid) certain staff.

Enforces a maximum ratio between two staff groups. Essential for safety and training (e.g., no more than 2 trainees per 1 senior).

Sets a minimum (and optional maximum) headcount for a specific shift. Use filters to target specific roles or groups (e.g., at least 2 Senior Staff).

Creates rotating weekly rest schedules with different OFF day targets per week. Accommodates biweekly or multi-week cycling patterns common in shift work.

Aims to distribute work days evenly across weeks, maintaining a target number per week. This is a soft constraint that balances workload while allowing flexibility for operational needs.
